Options for adding virtual office hours to your Virtual Benefit Fair

There are a few ways to set up office hours for your Virtual Benefits Fair. Below we have outlined our recommendations:

Option 1: Use Zoom’s “Waiting Room” functionality

The first option is to add a link to an invite with a Zoom meeting link attached. There you will be able to control the flow of people by using the Waiting Room functionality.

The Waiting Room feature of Zoom allows the host to control when a participant joins the meeting. As the meeting host, you can admit attendees one by one so that employees have an opportunity to ask personal questions, or you can admit them all at once for a group session.

You can send all participants to the Waiting Room when joining your meeting, or you can allow participants from your Zoom account and participants at specified domains to bypass the Waiting Room.

Option 2: Hyperlink Calendly to set up individual specific meeting times

Another option for setting up virtual office hours is to utilize Calendly.

First you would create an account with Calendly and indicate your availability preferences (time of day, meeting length, etc) and sync Calendly with your online calendar. Calendly also can integrate with Salesforce through a third party software called Zapier.

Then you can share your Virtual Office Hours link by hyperlinking it on a Virtual Benefit Fair Tile.

Employees can click on this link and view all the available time slots that you had created for Office Hours (minus the ones that have been booked by someone else) and select a time that works for them. The event will then be added to both people’s calendars.
