How to Share Tiles Using Email and Text
In this article, you’ll learn how to launch a Highlight by sending Tiles directly to employees through email or text message.
Before You Begin
Before you can send or schedule Tiles, make sure your employee user file is uploaded.

Go to the Users tab and upload your user file.

Follow the downloadable template provided to ensure your data is formatted correctly.

Once your upload is complete, Airbo Customer Success will notify you.
Note: During Open Enrollment season, please allow 24 business hours for your files to be uploaded.
Option 1: Schedule Tiles for a Future Date
- Navigate to the Highlights Tab
- Open the Highlight you want to send.
- Click Edit Highlight.
- Scroll to Step 5: Review Tiles and Notifications.
- Set your Post Date to the day and time you want your Tiles to send. (Important: Post Time must be 2 hours in the future to schedule)
- Click Save Changes.
- Click Review and Publish, then select Publish With Notifications.
- Under Create Email, choose between Tiles With Images or Plain Text With CTA, update your email subject, headline, and intro message.
- Send a test message to yourself to preview what employees will receive. Click Next Reminder.
- Under Set Reminders, review Reminder Date and Time, choose between Tiles With Images or Plain Text With CTA, and Reminder Subject. (Important: This automatic reminder will only go out to employees who did not interact with the initial notification)
- Send a test message to yourself to preview what employees will receive.

Your Highlight will go live.

Employees will receive their email or text message.

They can access their account directly from the message — no username or password required.
Option 2: Send Tiles Immediately
- Navigate to the Highlights Tab
- Open your Highlight and click Edit Highlight.
- In Step 5: Review Tiles and Notifications, make sure the Post Date is set for a time in the future (this ensures Airbo recognizes it as a ready-to-send Highlight) (Important: Post Time must be 2 hours in the future, this will not impact your ability to send now).
- Click Review and Publish, then select Publish With Notifications.
- Under Create Email, choose between Tiles With Images or Plain Text With CTA, update your email subject, headline, and intro message.
- Send a test message to yourself to preview what employees will receive. Click Next Reminder.
- Under Set Reminders, review Reminder Date and Time, choose between Tiles With Images or Plain Text With CTA, and Reminder Subject. (Important: This automatic reminder will only go out to employees who did not interact with the initial notification)
- Send a test message to yourself to preview what employees will receive.
- Click Next: Reminder, then Review and Schedule.
- Click Post Now.
Setting Up a Reminder Message
Airbo automatically allows you to send a reminder message to employees who haven’t interacted with your first message.

In Step 5, after publishing with notifications, click Next: Reminder.

Choose the date and time you’d like the reminder to send (for example, 7 days after your initial message).

Customize your subject, message, and choose between Tiles With Images or Plain Text With CTA.

Send yourself a test message to preview.

Click Save and Close to return later, or Review and Schedule to confirm your reminder setup.
This ensures employees who missed the first message still have a chance to engage.
Sending a Test Message
Before scheduling or posting, always send a test message to yourself to review your layout, text, and images.
This helps ensure your message looks exactly how you want it before employees see it.
Key Notes
- Make sure your Highlight is finalized before sending.
- Always upload your user file before scheduling or posting. (During Open Enrollment, allow 24-48 business hours for user files to upload.)
- Employees will be able to open their Highlight directly from the link in their email or text — no login required. Our system recognizes them as a user from the file you sent
(Important: Digest emails and texts should not be forwarded, each user receives a unique link to their account)
- Reminder messages are optional and only go to employees who did not engage with your initial message.

Once your Tiles are sent, track engagement in your Reports tab to see who opened, clicked, and interacted with your Highlight.
