Whitelist Airbo Domains

This article helps you request domain whitelisting from your IT team so employees can receive Airbo emails. You'll get a ready-to-use email template and tips for a smooth setup.

Before You Start

  • Know your planned launch date for Airbo
  • Identify the right IT contact at your organization
  • Plan to send this request at least 1-2 weeks before launch 

Inform your IT Department that you're using Airbo

Your IT infrastructure may have a firewall that can block Airbo from working as expected if not set up properly, but don't worry - addressing this is quick and simple. Send your IT team the list of web addresses to add to their safe list. Once IT confirms whitelisting is complete, let your Airbo representative know, and we'll run a few quick tests to make sure it works.

Here's a sample email you can send IT:

Subject: Whitelist Domains for HR Communication Platform by [XX/XX]

Dear IT,

On [insert date], our department will be launching a new SaaS app called Airbo (app.airbo.com). It's an interactive tool that will help us engage employees in our communications, benefits, and resources. To ensure that employees successfully receive the emails from Airbo, can you please whitelist the following domains:

  • @ourairbo.com

  • @airbo.com

Web Domains

  • *ourairbo.com

  • *airbo.com

  • *hengage-Tiles-production.s3.amazonaws.com

Tip: To prevent future whitelist requests, whitelist *.airbo.com and *.ourairbo.com as well.

If we throttle emails, please ensure that the setting is high enough so that all Airbo emails are received on the day they are sent.

If we block images, please set up automatic download of pictures from this email address to ensure the employee experience remains high.

Tips for Success

  • Do this: Send the request 1-2 weeks before your launch date
  • Do this: Include a specific deadline in the subject line
  • Avoid this: Waiting until launch day to request whitelisting
  • Remember: Your IT team may need time to test the changes

Troubleshooting

IT says they completed whitelisting but employees still aren't getting emails

Ask IT to double-check that all three email domains are whitelisted. Sometimes one gets missed. Also confirm the IP addresses were added if your company requires SPF records.

IT asks what "throttling" means

Some email systems limit how many emails can be delivered per hour. Ask them to allow at least 500 emails per hour from Airbo domains, or remove throttling entirely.

Employees see broken images in their emails

Ask IT to allow automatic image downloads from the Airbo email domains. Some email systems block images by default.
